Elections Clerk (Seasonal)
Hourly Rate: $15.02 - $22.51
This is a seasonal position: The Election Commission hires seasonal workers during election cycles to assist with canvassing each election. During even numbered years there are four scheduled elections and two elections during odd numbered years. The canvass process takes place after each election and generally lasts from 8-10 days. Additionally, during times of high volume, seasonal employees may be requested to assist with other election-related tasks, as outlined in the job description below.
Job Summary: The Elections Clerk provides post-election support during the county canvass process. Other duties may include a wide array of clerical support for Election Commission and Commissioners, as needed (i.e. answering phones, providing receptionist coverage, filing, drafting correspondence, documents, and reports using Microsoft Word, Excel and other software platforms. The Elections Clerk will also assist in preparation for elections and certification of election results. Prepare ballot bags and election supplies, ballot proofing, and support massive open records requests.
Essential Duties and Responsibilities:
- Election Result Processing. Review and verify post-election documents received from 19 municipalities for completeness and accuracy. Confirm election results from election machine tapes and compare them with results entered in official canvass and number of voters in poll list. Review write-in votes and provisional ballots (sort, review, tally, and amend results).
- Office Support/Receptionist. Provide clerical support during peak election cycles: receptionist, create/maintain spreadsheets, type, file, answer phones, data entry, draft correspondence, assemble mailings, photocopy, scan, locate, and collate documents. Inventory and order office supplies and equipment maintenance.
- Preparation of Election Supplies/Ballot Bag Security. Review charts to determine appropriate supplies and quantities for each municipality. Assemble ballot bags, package election supplies and forms for each election. Assign and maintain serial numbers of ballot bags for municipalities and assist with check-in of ballot bags and materials after elections.
- Verification of Nomination & Campaign Paperwork. Assist Election Commission staff with the review of nomination papers and other ballot access documents for accuracy and validity of signatures.
- Campaign Guidance/Certification of Candidates for County Office. Prepare candidate packets and assist prospective candidates with questions and provide guidance on completing paperwork in accordance with statutory requirements
- Open Records Requests. Assist with the fulfillment of open records requests including retrieval of requested documents; copy and provide records requested, coordinate offsite record retrieval with vendor, and prepare chain of custody documents.
- Miscellaneous. Any and all other duties as may be assigned.
Minimum Requirements:
- Must be a Current Resident of the State of Wisconsin
- Possession of High School Diploma or GED equivalent
- Must be able to lift/carry and push/pull up to 40 lbs.
- Experience with Microsoft Excel, Word, and Outlook
- Must be able to work full-time days during each post-election canvass process
Preferred Experience:
- Experience in elections is preferred but not required.
- At least two (2) years of professional general office clerical experience
Knowledge, Skills, and Abilities: Knowledge of modern office practices and procedures. The ability to solve problems, communicate in person and with written communications. Supports clerical functions and pays attention to details. Uses good judgment and represents Milwaukee County in a positive manner, working harmoniously with staff, employees, and the general public.
